What is Managed Recruitment?

With Managed Recruitment, our in-house recruitment team makes it easy to connect with participants. We take care of all the details—from feasibility checks, recruitment, reminders, confirmations, and admin.

With four award-winning panel providers - User Interviews, Respondent, PureSpectrum, and Cint, we'll tailor recruitment to every recruitment need, giving you access to a vast pool of high-quality participants from across 150+ countries.

All you need to do is provide your participant criteria via the request form, and our team will handle the rest. We’ll select the best panel for your needs and ensure your study is set up and ready to receive high-quality results.

How do I submit a Managed Recruitment request?

To get started, click on the button below to fill out the request form or access the request form via the Recruit tabs in Optimal.

We'll use the information provided to let you know pricing, feasibility, and next steps.

How long does it take to receive participants?

Once your order has been placed by our recruitment team, we aim for you to receive all of your participant responses within 3-5 business days.


Can I use my pre-existing participant recruitment credits?

You can use any participant recruitment credits in your account to purchase your managed recruitment order with us. Each credit holds the value of US$10 towards your order.

We will invoice per order for anyone not using participant recruitment credits.

What happens after I submit an order request?

Our recruitment team will review your needs, and reach out to you to confirm the feasibility of your request. If you have questions in the meantime, please contact our recruitment team.

Want to make changes to your request? Don’t worry, you can let us know once we reach out. In the meantime, make sure that your study setup is complete (including any screening questions) and that you hit ‘Launch’!

Our team will evaluable your criteria and confirm feasibility to select the panel provider that works best for your budget and needs.

If participants are requested to be replaced, we will replace any low quality participants within 3 days or upon request.


Optimal users will need to exclude participants from their Results via the Participants tab. Once the order is complete, the recruitment team will replace those that are excluded.


Do you offer moderated recruitment services?

Optimal Workshop does not currently offer moderated recruitment services. All our recruitment services are for use along with our unmoderated research tools (that’s all of them, except for Qualitative Insights!)

Can customers turn on session replay while using Managed Recruitment?

We are unable to record session replays at this stage with this service.

Can I collect participant email addresses, names, or other personally identifiable information?

It is required that all participants remain anonymous. This means that it is not possible to request any personally identifiable information in your study.
